Submission Files

Refer to assessment requirements if a particular naming convention is required, for example:

  • Unit Code - Assessment #Number - Assessment Name - Full Name - Student Number
  • ABC1234 - Assessment 1 - Report Plan - Firstname Lastname - s1234567.docx

Accepted file types

  • Web Document: HTM, HTML, MHT, MHTML 
  • Text Document: RTF, PPT, PPS PDF, DOC, DOCX, PPTX, XML, XLS, TXT, WPDG 
  • Image: JPG, JPEG, PNG, GIF, BMP, TIF, TIFF
  • Media: SWT, MPG, MPEF, RM, MP3, PM4, M4V, M4A, AVI, WAV, RAM, ASF, MOV, RA

Your file does not upload when:

  • The filename contains illegal characters such as \ / : * ? “ < > | ~ # % & ' { }
  • The file name is too long, keep the file name under 120 characters.

Upload the Correct File:

When you save a file in Microsoft Office, for example, a file called assignment.docx, you may find two files saved on your computer: assignment.docx and ~$assignment.docx.

This is because Office creates both a temporary file and the document file, where the temporary file begins with ~$. Ensure you are uploading the actual document instead of the temporary file, as the temporary file will not open and contains no data.

Submit an Assessment

1. In your Learning Space, on the navbar, select Assessments (1) , then Dropbox (2).

2. From the list, click on the name of the Dropbox (1) you want to submit an assignment to.

Submit Group Work Assessment dropboxes, for group submission, have a Group icon (A) beside their names. In these dropboxes, any member of the group can submit files, and all members can see the submission, grades and feedback. See  Viewing and joining your Groups , to learn more.

3. Scroll down the page,note if  Turnitin (1) is enabled. Read the rubric (2)  (if available), assessment declaration and preferred submission file types .

4. Scroll to the bottom of the page, then select Add a File (1) .

5. The add file pop-up window provides options to locate your submission, including My Computer, My Locker, Group Locker, OneDrive Files, ePortfolio, and Google Docs. 6. Select the file location  (i.e. My Computer ), then locate and select your file .

7. Note the attached file, if required add additional files or comments. 8. When ready click Submit (1) .

9. Review the Assessment submission, to ensure file submission was successful.

  • You will also receive an email confirmation of your submission (1) .
  • View History  provides a view of your previous submissions. For group dropbox folders, you can check who submitted each file.
  • Upload More Files  allows for additional submissions to the current dropbox.  

When complete select Done (2) .

1. On the Assessment Dropbox Folders page, select View History (1) , or Submissions (2) under the Completion Status column.

View Feedback

1. On release of grades and feedback, a new notification will become available via Updates (1) , an orange alert dot indicates unread items.

1. You can either click on the update message , or in your unit space on the navbar, select  Assessments  then Dropbox . 2. Note the grade (1) in the Score column, then select the feedback link (Unread, or Read) (2) , in the Evaluation Status column.

Undergraduate requests for academic concession

If you're a student in the Faculty of Law, contact the Academic and Student relations office to learn more about academic concessions .

Can I request an academic concession?

You can request an academic concession if your course requirements are affected by unexpected and unavoidable circumstances, or conflicting responsibilities.

Unexpected and unavoidable circumstances include, but are not limited to:

  • illness, trauma or bereavement
  • personal or family affliction, including responsibility to care for a family member
  • Indigenous cultural or community obligations.

Conflicting responsibilities include, but are not limited to:

  • service in the armed forces or emergency services
  • representing the university, the province or the country by participating in an academic event, an athletic competition or an artistic performance.

What are my options?

If you think you can complete the course requirements.

  • If your course requirements (including midterm exams) will be completed before the final grades are submitted, request an in-course extension .
  • If your course requirements (including final exams) won't be completed until after the final grades are submitted, request a Deferral .

If you won't be able to complete the course requirements

  • If the academic drop deadline has not yet passed, drop the course .
  • If the academic drop deadline has passed, request a Withdrawal or Aegrotat .

Request an in-course extension

Request an in-course extension if you need more time to complete course requirements, or need to reschedule a test or midterm exam. The course requirements must be completed before the final grades are submitted .

How to submit a request

Send an email to your instructor that includes the following information.

  • Your full name and UVic student number
  • Course and lecture/lab/tutorial sections (e.g., "ATWP 135, Sections A01, L02, T01")
  • Explain your circumstances in as much detail as you feel is necessary, but only within your comfort level. You don't need to share any information that is sensitive, confidential or that may make you feel uncomfortable.
  • Explain what course requirements you need to extend, with proposed dates to complete assignments/tests/exams.
  • If your request is due to conflicting responsibilities, attach supporting documentation to your email as PDF, DOCX or JPG files.
  • If your request is due to unexpected and unavoidable circumstances, supporting documentation is not required.

If you prefer, download and use the Request for In-course Extension form to ensure that you provide all of the required information. Your request must still be sent to your instructor by email.

Request a Deferral

Request a Deferral (DEF) if you'll be able to complete the course requirements after the final grades are submitted . This includes final exams that take place after the last day of classes.

Complete the "Undergraduate request for Deferral" form and email it to [email protected] .

  • In exceptional circumstances , the dean of your faculty (or designate) may request supplemental documentation.

If your request is approved

Your grade will be temporarily updated to "DEF" on your administrative transcript. You and your instructor will agree on a deadline for you to complete the outstanding course requirements (including exams), which can be no later than the end of the following term .

  • Courses from September-December must be completed by April 30.
  • Courses from January-April must be completed by August 31.
  • Courses from May-August must be completed by December 31.

It's your responsibility to contact your instructor to set a deadline, and to monitor your administrative transcript to ensure your grade is updated. If you don't complete the course by the deadline, you'll be assigned the grade you achieved without the completed work.

If your request is denied

You'll receive an email from the Office of the Registrar and Enrolment Management outlining the rationale provided by your instructor. Follow-up questions should be directed to your instructor.

Extending an approved Deferral

If you've been approved for a Deferral but are unable to complete your course requirements by the end of the following term, you can request an Extended Deferral .

  • Your request should be submitted before your original Deferral deadline.
  • The dean of your faculty (or a designate) will review your request, and their decision will be communicated to you by email.
  • If you don't complete the course requirements by the extended deadline, you'll be assigned the grade you achieved without the completed work.

Drop a course

If you can't complete the course requirements and it's before the academic drop deadline , you can drop the course. You don't need to submit a request for academic concession, but you may want to seek a fee reduction/refund.

Request a Withdrawal or Aegrotat

If the academic drop deadline has passed and you won't be able to complete the course requirements, you can request a Withdrawal under Extenuating Circumstances (WE) or an Aegrotat (AEG).

Withdrawal under Extenuating Circumstances: you've completed a substantial portion of a course, but are not able to complete it in full. A course with a WE notation remains on your record but does not factor into your grade point average.

  • If you've completed all of the course requirements, a WE notation can only be approved due to exceptional circumstances.
  • In some exceptional circumstances (e.g., you were not able to complete any of the course requirements), a WE request may instead result in a Backdated Drop. This removes the course from your academic record.

Aegrotat: circumstances affected your performance or prevented you from completing of all of your course requirements. A course with an AEG notation will have a final grade reported on your transcript, and the grade will count toward your grade point average.

  • Complete the "Undergraduate request for Withdrawal or Aegrotat" form and email it to [email protected] .
  • Supporting documentation (PDF, DOCX or JPG files) is required when requesting WE or AEG.

The dean of your faculty (or a designate) will review your request, and their decision will be communicated to you by email. In some circumstances, you may be offered an alternative solution (e.g., if you requested a Withdrawal under Extenuating Circumstances then you may be offered an Aegrotat).

Illness or exceptional circumstances at final assessment time

Find out what to do if you're acutely ill or suffer exceptional circumstances during final assessments—and how to apply for an aegrotat pass.

If you are suffering an acute illness or exceptional circumstances affecting your ability to sit tests and exams or complete assessments in the final three teaching weeks of the course or during the final exam/assessment period, this is what you should do:

  • Contact your course coordinator as soon as possible.
  • If your problem is health related, see a health professional and obtain a medical certificate*—this may be required later if you need to apply for a special 'aegrotat' pass.
  • If your problem is due to a bereavement—that is the death of a family member or close personal friend—or other serious personal circumstances, you will need to provide evidence. This evidence might be a death notice or a copy of a police report.
  • Sit your exam/s or tests and/or do as much as you can towards your assessments, unless your circumstances do not allow you to do so.

*A medical certificate will confirm that your circumstances during the relevant period were significant enough for you to be considered for an aegrotat pass. The medical certificate will not contain anything about your condition—this will remain confidential between you and your doctor.

How your course coordinator can help

Your course coordinator may consider different options depending on the type of assessment, when the assessment is scheduled relative to your period of acute illness or exceptional circumstances, and the work you have already completed for the course.

The options considered by your course coordinator will include:

  • an extension of the due date for your assessment
  • re-weighting of your assessment
  • an alternative assessment
  • submission of drafts or work in progress.

If none of these options are appropriate and you think that you may fail the course, you can apply to be considered for an ungraded pass known as an aegrotat.

Your Student Success Adviser can explain each of these options and connect you with the right person to help you. Before applying for an aegrotat, you should talk to your course coordinator about the best options for your situation.

An aegrotat (ungraded) pass

You may be awarded an ungraded aegrotat pass if you are otherwise on track to pass a course, but due to exceptional circumstances you are unable to either:

  • take or prepare for a test/exam, or
  • complete a piece of assessment due in the last three weeks of teaching or during the final exam/assessment period.

An aegrotat pass for the course would appear on your academic transcript as a 'G'.

How aegrotat passes are considered

To consider your application, the University needs to be sure you have largely met the learning outcomes for your course. We look at:

  • The assessments you have completed so far on the course. If you have missed much of the course or have done poorly on previous assessments, your application is likely to be declined.
  • Your achievements relative to others in your class.
  • Whether there is evidence of the circumstances of your impairment, for example, a medical certificate.

Your health provider can’t approve your application for an aegrotat pass. Their role is to assess whether your illness, injury, or other serious circumstances during relevant period warrants the University to consider your application. Beyond this threshold, the severity of your condition will not have an impact on the outcome of your application.

Teacher education exception

You can apply for an aegrotat pass for most courses, but teacher education students cannot apply for an aegrotat pass for any course that is part of a teacher education programme. There is an alternative process available—contact the  Faculty of Education office for further information.

When to apply

You can apply for an aegrotat pass for a course when your acute illness or exceptional circumstances had an impact on your ability to sit or complete assessments that are due or take place within the last three teaching weeks or within the final exam/assessment period.

You can’t apply for an aegrotat pass if your assessment is due before the start of this time period. This means:

The last day you can submit an aegrotat application is 10 working days after your last test, exam, or assessment submission date.

Late applications may be considered under exceptional circumstances—for example, if you are in hospital. Check with your  Student Success Adviser . You will need to provide a reason why your application is late.

Aegrotat application process

If you have discussed your situation with your course coordinator, and decided that applying for an aegrotat pass for the course is your best option, follow these steps:

1. Fill in the aegrotat pass application form

Fill in the online aegrotat application form. This form is only available for enrolled students, and you must apply using your student account ([email protected]).

Students who are also staff members may initially be denied access to the form. If this happens, right-click this  aegrotat application form link , select ‘open link in incognito/private window’, and then proceed to log in with your student account.

2. Get evidence of your impairment to support your application

You need evidence of impairment to support your application for an aegrotat pass. Unless your application is based on impairment due to bereavement or other serious personal circumstances, you will need a medical certificate from a registered health professional.

Organise to see a health professional if you haven’t already done so and ask them to fill in an Aegrotat certificate of impairment . You can go to Mauri Ora—Student Health and Student Counselling or choose a relevant external health professional, such as a GP/doctor, practice nurse, hospital medical practitioner, physiotherapist, or midwife.

3. Submit your aegrotat pass application form and evidence

If you visited Mauri Ora—Student Health and Student Counselling for evidence to support your application, they will email you the medical certificate for you to upload as part of your application. If your evidence of impairment is in paper form, you will need to scan it or take a photo before uploading it as part of your application.

The University needs both the application form and the supporting evidence to accept your aegrotat application. You'll receive a confirmation email once your application is received.

4. Wait for a decision

Aegrotat processing starts once final grades are released. Aegrotat applications are usually decided within four weeks of grades being released. Your application will be held by the Examinations Management team until your final grades have been released.

During this time, your record for the course(s) will either display a fail grade or ‘GP’ (grade pending), which will be adjusted once a decision has been made on your aegrotat application.

Your aegrotat application will either:

  • proceed if you failed the course(s), or
  • stop if you passed the course(s).

If you passed the course(s), your record will be updated with your grade. If your application proceeds, it will be assessed based on your performance in other assessments within the course. You will receive an email as soon as a decision is made on your application.

The aegrotat decision-making process involves the following steps:

  • A course coordinator reviews your performance in the impacted course, compares your performance to results of comparable students, develops an “academic profile” detailing the rationale for their decision, and makes a recommendation whether to award an aegrotat.
  • The Head of School reviews the recommendation by the course coordinator, adds additional comments and makes their recommendation.
  • The Associate Dean then reviews all evidence and makes a final decision. In boundary cases, the Associate Dean will get input from a second Associate Dean to ensure decision making is consistent across the faculties.

After you apply

Appealing a decision.

If your application is declined, you may appeal the decision. The appeal process is outlined in the email advising you of the result of your application.

The appeal process will review your case to ensure that appropriate criteria for decision making have been applied. Additional medical information is not required and will not affect the appeal decision.

Prerequisite courses

Sometimes the course for which you’ve applied for an aegrotat pass may be a prerequisite for another course. If that course is starting soon and you haven’t yet received a decision, contact your Student Success Adviser for help. You may be able to start the next course (and attend associated tutorials and labs) while the decision is pending.

Your grades

Aegrotat passes are ungraded.

When you get an aegrotat pass, you will see a ‘G’ on your transcript instead of a normal passing grade in the C- to A+ range. An aegrotat pass is treated as a pass in all other respects. You won’t need to repeat the course and you will be eligible for any courses for which the course was a prerequisite (as long as you meet all other requirements).

Aegrotat and GPA

There is no GPA value for an aegrotat pass. Check with your faculty about if and how your aegrotat pass will affect selection for other courses within that faculty.

Passing grades and aegrotat passes

If you applied for an aegrotat pass but still managed to pass your course anyway, your aegrotat application will not proceed. The passing grade will be recorded on your academic transcript.

You may feel that the passing grade does not reflect your ability in the course. In that case, you have the option of having your passing grade changed to an ungraded pass (G), provided your aegrotat application included supporting documentation with evidence that your illness or exceptional circumstances warranted an aegrotat review.

What is an assignment extension?

Where you are unable to attempt an assessment item which is not an exam, you may apply for an extension of time to submit the assessment item. This includes case studies, essays and reports.

When can I apply for an assignment extension?

You can apply for an assignment extension if you are unable to complete an assignment by the due date on medical or other grounds (e.g. disability, family or personal circumstances, employment-related circumstances, unavoidable commitments).

When can’t I apply for an assignment extension?

An extension of time is not available for an assessment item for which the opportunity to resubmit has been given.

What is the difference between an assignment extension and special consideration?

Essentially if you are unable to complete an assessment on medical or other grounds, you may apply for an assignment extension. If; however, you have attempted an assessment item, and your performance was seriously affected or you were seriously disadvantaged when the assessment item was attempted, you may apply for special consideration. Please refer to the Assessment Procedure for Students for more information on special consideration.

What is the difference between an assignment extension and deferred assessment?

An assignment extension provides additional time for you to complete an assessment item (e.g. case study, essay or report) if you are unable to submit the assessment item by the due date and time. Deferred assessment is awarded where you are prevented from completing the assessment task, such as an exam, on the scheduled date. Please refer to the Assessment Procedure for Students for more information.

How do I apply for an assessment extension?

Submit an assignment extension form online.

For individual assessment items, supporting documentation is not required for extensions up to and including three calendar days, unless you are enrolled in a course through Open Universities Australia (OUA) *. For group assessment, all OUA assessment and extensions greater than three calendar days your application must include appropriate documentation to support the grounds on which you are requesting an extension.

Students registered with Student Disability and Accessibility can apply for assignment extensions on disability grounds for up to and including 10 calendar days without the requirement to provide supporting documentation.

* Note: For students not registered with Student Disability and Accessibility, accumulation of more than three approved extensions for individual assignments of three or less calendar days will trigger the supporting documentation requirement for the remainder of the trimester, after which the count will be reset.

Supporting documentation may include a medical certificate, bereavement notice, copy of accident report etc. You can find other forms of appropriate supporting documentation at Assessment Applications . Please note that when applying on medical grounds, the medical certificate must outline the period for which your performance was impacted.

How long do I have to submit my application?

Applications for an assignment extension must be submitted online before the assignment due date.

What is the maximum period of extension I can apply for?

The maximum period an extension will be granted on medical grounds is 14 calendar days.

The maximum period an extension will be granted on disability grounds is 14 calendar days.

The maximum period an extension will be granted for bereavement is 14 calendar days.

The maximum period an extension will be granted for personal safety reasons is 14 calendar days.

The maximum period an extension will be granted for other personal, professional or exceptional circumstances is three calendar days.

What happens after I submit my application?

The application will then either be approved or declined and you will be notified by email of the decision. For applications exceeding three calendar days, you will receive an interim approval of three calendar days before your application undergoes further review by your Course Convenor for the full extension days requested*.

* Note: For students registered with Student Disability and Accessibility this is extended to 10 calendar days.

What if my application for an assignment extension is declined?

Decisions made regarding assignment extensions do not constitute an academic decision under the University’s Student Review and Appeals Policy and Procedures . Therefore, you are not able to seek a review of decision if you are unhappy with the outcome of your application. If you believe your application has been declined in error, contact your Course Convenor or Student Connect .

What if I need to apply for a further extension on an already approved applications?

If you require a further extension on an already approved application, you can now do this via the online application. Documentation will be required to support an additional extension and you cannot exceed the maximum allowable extension period for the reason selected.

    You should send the Application for Assignment Extension PDF to your College Course and Unit Administrator (CUA) at least one (1) working day before the assessment due date.

  5. Extensions

There are maximum timeframes within which Master's by Thesis and Doctoral students are normally expected to submit their thesis: Masters: 12 months full-time (or equivalent)

  8. Assessment for Learning

    (11) Special consideration: A form of adjustment of outcome for students who experience acute unexpected circumstances which have an adverse impact on their performance in assessable tasks, submission of assessment tasks or examination attendance; or who require an extension of longer than five (5) days from the due date for an assessment.
