  • Include the official salary for the position as discussed during the job offer and negotiation stage. Also, include other essential parts of the gross salary in this section, such as pension plans, gratuity , insurance plans , etc.
  • Include all other important additional terms and conditions (such as dress code) towards the end of the letter.
  • Close the letter by stating if the recipient needs to sign the document at the end. Include the deadline for acceptance or response to the letter in this final section.

Why it’s important to send an appointment letter

An appointment letter gives the candidate all of the information they need to make a prompt and informed decision about whether to accept the job. This letter is an important formal step in the hiring process because it makes your choice official and documents your complete offer package.

It’s important to send appointment letters to keep your hiring process moving. Based on the candidate’s response, you’ll know whether your search for a particular position is complete or whether you need to keep looking. Plus, it serves as a starting point for any negotiations that will take place over the employment details. 

When should you send an appointment letter

When you identify a top candidate.

A letter of appointment should be sent once stakeholders have agreed on a top choice for a particular job. Though you may prepare appointment letters for several top candidates in advance, sending only one letter at a time is important. 

When your top candidate has declined

If your first choice for the position officially declines, you can then send the next letter to your second choice. Don’t do this until you’re absolutely sure the top candidate is out of the picture; otherwise, you may find yourself in the awkward position of having to rescind an offer.

After a series of interviews, an appointment letter is the first message a new hire gets from your company, confirming their hire. 

In this article, we’re going to discuss what an appointment letter is, how to write one, and provide samples to assist you in writing your appointment letters. 

What is a Job Appointment Letter?

A job appointment letter is a letter that formally confirms the employment of a new hire. After a successful interview and all negotiations are completed, a job offer letter officially states that the employee got the position. 

Before appointment letters are sent, an offer must first be made, and all negotiations with the employee must be concluded; this means salary negotiations, benefits, etc. 

A job appointment letter doesn’t have to contain everything about your company. Other documents necessary for onboarding should be sent after the hire has signed the appointment letter. 

How to Write an Appointment Letter for Employment

When writing appointment letters, the most important aspects of the letter are:

  • Job Title and Description
  • Working Hours
  • Salary and Benefits
  • Necessary Actions and Deadlines

In this section of this article, we’ll list out the step-by-step process needed to write appointment letters. 

1. Use Your Company’s Letterhead

This goes without saying, but an appointment letter is a professional and formal document, and to make sure this formality is maintained, it needs to be on your company’s letterhead. If your company doesn’t have a letterhead, then the letter should contain a formal heading. 

This heading should house your company’s name, contact information, address, and logo. Including all of this information in your appointment letter makes it easier for the new hire to reach out to you if they have any questions or inquiries. 

2. Greet the Recipient

Your letter should start with a formal greeting of you acknowledging the hire. A simple “Dear (Name of hire),” or “Hello, (Name of hire)” works perfectly. After greeting the recipient, thank them for taking the time to interview for the role.

3. Formally Offer the Position

You may have already sent a job offer letter to the employee offering them the position, but it is extremely important that you formally offer the hire the role. This is crucial because while the other documents previously sent may have offered them the position, the hire becomes an official member of the company when they sign the letter. Upon signing the letter, a file is created for the employee, and the appointment letter is the first thing that goes in. 

Make sure the official job title is stated clearly in the appointment letter. Also, extend your excitement and enthusiasm toward working with the employee. This helps the hire feel welcome and ultimately makes the onboarding process easier.

4. Describe the Hire’s Duties

In this section of the letter, the employee’s duties should be listed in bullet or number points. This helps the employee ease into their role and brings them up to speed on their primary tasks. 

If you’re the hiring manager and are unsure what the hire’s primary responsibilities include, then you should reach out to their manager and whoever they’ll be reporting to and find out the hire’s responsibilities from them. 

5. State the Start Date 

This may have been discussed during the interview or job offer stage, but it’s important to be reiterated in this letter section. In most cases, a hire’s official start date is usually on the first day of the month unless there’s a need for the hire to begin work immediately. 

If the hire begins in the middle of the month, it’s important that they know how this affects when they receive their remuneration. If this hasn’t been discussed in previous interviews, it is important that a meeting is held with the hire to discuss this. 

6. State the Work Hours and Days

If this is an on-site position, it is important that the specific work hours are stated in this letter. Is the employee expected to be in the office from 8 AM-5 PM? This should be stated in the Letter. 

With the advent of remote work , employees now work hybrid or fully remotely. For hybrid positions, you should also state the days the employee is expected to come into the office.

7. Include a Salary Breakdown

While this information may have been discussed and agreed upon, it should also be stated in this letter. If there are benefits attached to the base salary, a proper structure breakdown should be included in the letter, this includes but isn’t limited to stock options, pension packages, and insurance. All of these should be broken down and spelled out in the letter. 

If the employee is to be paid weekly, or monthly, a set date on when salaries are paid out should also be included in the letter. 

8. Additional Information

While it’s not advised, you can include the company’s terms and conditions in this section of the letter. This section of the letter includes anything the employee is to submit to the company or to expect from the company. If the employee is expected to submit documents, this should be stated in the letter. 

Also, if the employee should expect anything from the company, such as gadgets and other onboarding materials, all of these should be stated in the letter.  

9. Close the Letter

When closing the letter, include any action the employee is expected to take. Are they expected to sign the document within the next couple of days?  Are they expected to submit some official documents? This should be included in the letter. 

Before signing the letter, relay your enthusiasm for working with the employee.

When closing the letter, include “Kind Regards” or “Sincerely,” and sign your name.

Terms of Appointment

Every appointment with be subject to the Rules and Regulations of M/s. ____________________, enforce and as amended from time to time. Where the company changes or introduces policies and procedures in relation to its staff members these will be deemed to apply to the employment.

  • Appointment
  • The firm hereby appoints the employee as an  (mention job role) w.e.f. (mention date of joining) and the employee agrees to undertake and execute such responsibilities as may be delegated to him/her by the firm from time to time. The employee shall be paid a monthly remuneration and reimbursed for the expenses incurred in relation to official work subject to the prevailing tax laws.

  • The employee agrees that he/she shall perform his/her duties and undertake responsibilities within the mandate of work place and office policies of the Firm, as modified from time to time, at the discretion of the Firm, and shall use his/her sincere and dedicated efforts to effectively carry out all duties and responsibilities assigned to him/her by the manager/supervisor and others authorized by the Firm to assign such duties and responsibilities.
  • Waiver. The rights of the Parties as under this agreement shall not be prejudiced or restricted by any indulgence or forbearance extended to another party. No waiver by any party in respect to breach shall operate as a waiver in respect of any subsequent breach
  • Survival. The Employee hereby agrees that all terms relating to Confidentiality, Intellectual Property Rights, Non Compete and Consequences of termination shall survive termination of this agreement
  • Entire Agreement. This Agreement together with other writings signed by the Parties expressly stated to be supplemental hereto and together with any instruments to be executed and delivered pursuant to this agreement, constitutes the agreement between the Parties and supersedes all prior understandings and writings, and may be amended or changed only by a writing signed by the Parties hereof.
  • Governing Law and Jurisdiction. This agreement shall be construed, interpreted and applied in accordance with, and shall be governed by the laws applicable in India. The courts at Delhi shall have the exclusive jurisdiction to entertain any dispute or suit arising out of or in relation to this Agreement.

Leave You will be eligible to the benefits of the Company Leave Rules on your confirmation in the Company’s Service as detailed in Annexure *A* During the period of your employment with the Company’s you will devote full time to the work of the Company. 5.Probation / Confirmation:

8.Responsibilities & Duties

9.Past Records

11.Termination of employment

A prior approval by the Management shall be considered as an exception to this clause through mutual settlement between both the parties.
  • The Company reserves the right to terminate your employment on the grounds mentioned in clause 11 below. In such an event, you will be subject to immediate dismissal and the Company will not be liable to give you pay for the notice period.The Company further reserves the right to initiate legal action as it deems fit.
  • If at any time during the course of your employment, it is found that you have made a false or an incomplete declaration with regard to your qualification / experience and other detail, your appointment will be treated void with immediate effect without any payment in lieu of notice period.
  • If at any time during the course of your employment, it is found that you have committed any act of gross misconduct or serious breach of employment terms, been guilty of conduct tending to bring yourself or the Company into disrepute, been absent for a continuous period of 10 days without approval/information, indulged in policy violation/fraud/financial irregularities and/or been found to demonstrate unsatisfactory job performance your services will be terminated and ; ;you shall not be entitled to any notice period or payment in lieu thereof.
  • You will be entitled to Casual/Sick Leaves: National/Festival holidays as stipulated by law/company policy, in a calendar year. The same may be changed from time to time in accordance with changes in law and/or company policy.
  • The company shall reimburse all your reasonable expenses incurred in the performance of your duties as specified above upon submission of receipts. The laid down claims procedure must be followed you will be entitled for reimbursement of mobile phone expenses on actual per company policy.
  • During your employment or in the event of any termination the Company is entitled to deduct any amount due from you to the Company from actual total compensation including but not limited to:
  • Any debt or advance for the time being owed by you to the Company
  • Any deduction related to leave or holiday taken in excess of entitlement as at the date of termination of employment: and
  • Any deduction with respect to expenses incurred by the Company or the cost of repairing damage to the Company’s property caused by you (and of recovering the same).
  • Return of Company Property
  • You shall promptly upon request by the Company and in any event upon the expiry or termination of your employment return and surrender to Company laptop and other assigned assets, all such confidential information including without limitation, data , information, files, books, magazines, reports, documents, manuals, any knowledge database in whatever form including but not limited to electronically held data that concerns the business of the Company which may have been prepared by you or come into your possession custody or control in the course of your employment.
  • You shall not keep any copies of these items in any form whatsoever.
  • Violation of this clause may invite legal action.
  • For a period of 2 year thereafter (except with the written approval of the Company)you will not solicit business in competition with the Company nor pass information to a third party that may result in the same effect from any other organization which is at the data of separation a client or a prospect with which negotiations are underway neither will you in competition offer or supply products or services which compete directly with those products or services offered by the Company.
  • You agree that for a period of 1 year after your separation from the Company you will not endeavor to solicit or entice away any person who is an employee of the Company or who was in its employment up to 6 months preceding your severance.
  • Under the Sexual Harassment Prevention Act. 2013, sexual harassment is Considered as misconduct. The Consequences of such misconduct can be apart from deduction of wages, termination of employment or transfer to another location.

You will be considered for confirmation in the Company´s service if the Company is satisfied with reference to your overall work/performance and conduct during the period of probation. During the first month of your probationary period, you shall be liable to be discharged without assigning any reasons at one day´s notice or pay in lieu thereof and thereafter at one month´s notice or pay in lieu thereof from either side.

5) Posting and Liability for Transfer: Initially you shall report for appointment at Mumbai and thereafter your place of posting would be decided based on the need of the Company. Your services in the Company are transferable anywhere in India/ abroad and you shall serve the Company and all the conditions of your employment with your employment in the company in its business in such capacity and at such place as you may from time to time be directed.

6) You will be governed by the Company´s Rules relating to conduct, discipline and all the conditions of employment etc. that are applicable or may become applicable from time to time to the employees of the Company.

7) You should produce sufficient proof of date of birth and educational qualifications (i.e. original mark lists & certificates along with photo copies thereof).

8) This appointment is subject to you being medically found fit for the aforesaid appointment by the Company for which you will have to undergo a medical checkup as decided by the Company and the decision of the Company on the Name of the Doctor/ Venue and the medical report will be final. A separate communication is being sent to you by the undersigned.

9) Your continuation of appointment will be subject to your furnishing such other information as the Company may require from time to time and subject to your services being acceptable in the light of the information furnished and documents provided from time to time.

10) If any declaration, statement or information given by you is at any time found to be false or untrue, or if any material information is suppressed, your services are liable to be terminated forthwith without any notice or compensation in lieu thereof.

11) If after you join the Company´s service, it comes to the notice of the Company that you had prior to joining the Company´s services committed any act of misconduct, your services are liable to be terminated forthwith without any notice or compensation in lieu thereof, or if your services are not so terminated, you shall be liable to disciplinary measures and any penalty that may be imposed by the Management.

12) No traveling allowance will be paid to you on account of your journey undertaken for joining the services of the company for this appointment.

13) Be it clearly understood that no benefit of past service or any other similar benefit of any previous employment, in whatever form & manner it may be, shall be available to you in this employment being offered pursuant to this letter.

If the above terms and conditions are acceptable to you, please return the duplicate of this letter duly signed in token of your acknowledgement and having accepted all the terms and conditions mentioned herein. You are also advised to report for appointment at the Company´s Office address not later than  _______(DATE).

You will also be required to sign the Secrecy Agreement on your joining.

10. You will also be governed by the standard terms and conditions applicable to the managerial cadre of the company as existing now and as may be amended from time to time.

11. Should there be a need for any modification in one or more benefits extended to you through this letter, by way of enactment of any law by the appropriate State/Central Government, you would be entitled to the higher of the benefit(s) but not both.

Every appointment with be subject to the Rules and Regulations of M/s. _______, enforce and as revised from time to time, the company change or introduce the policies and procedures in relation to its employees will be deemed to apply to the employment.

Every employment will set about from the date of joining as mentioned in the appointment letter. There will be a three month probationary period, with employment confirmation based on decent performance during that time.

At the time of probation period, the employment can be terminated by either party by giving one week’s notice. After the employment has been confirmed, any party may be terminating it by giving one month’s basic wage in place of notice if the circumstances warrant it.

The employee will be responsible to transfer to any place of business of the organization whether existing or later acquired on or from one department to another or one discipline to another in the interest of organization.

The staff member may be retired at the age of 60 years, if found necessary by the company.

Without the company's previous written approval, the employee may not take up any other job or participate in any outside activities.

The employee shall carry out all the duty and responsibility assigned from time to time by the management or other authorized from the company to assign any such duty and responsibility.

The staff member shall not, without the company's prior written consent, disclose, divulge, or make public any of the process accounts transactions and dealings to the company, whether the same is communicated and/or becomes known to the staff member in the course of services or otherwise, except under legal obligations. All information that comes to the staff member's knowledge as a result of their employment with the company is considered confidential.

The employee will be responsible for the safekeeping and return in good condition of all corporate belongings that may be in your possession, custody, or charge, as well as the proper handing over of the current assignment (s).

Unless you provide written notification, the staff member will keep us aware of any charges in the residential address. The address listed in your CV will be considered your home address unless you provide written notification.

All payments will be made in compliance with the regulations governing income taxes.

He or she must follow and maintain the highest standards of personal behaviour and integrity in accordance with all corporate policies and procedures.

The appointment agreement is valid to have been completed in the. Even if the staff person is serving outside of Delhi, the National Capital Territory of Delhi and the staff member are subject to the administrative jurisdiction of the Corporate and Head Office. The cause of action would be regarded to have arisen with the Jurisdiction of the National Capital Territory of Delhi in the event of a dispute or discrepancy over the terms and circumstances of the appointment.
