Webex Host Privileges: Everything You Need to Know

You can share host-level privileges with another person, including a co-host.

If you don’t want others to join the meeting, you can also pass the Presenter role to another person.

Other host privileges include locking a meeting so that only invited attendees can access it.

This article explains how to share hosting privileges with other people. For more information, read the rest of this article.

Co-hosts share host-level privileges

When setting up a meeting, the host can assign a co-host to their meeting.

These individuals have host-level privileges, including the ability to mute participants, admit meeting participants from the lobby, and manage breakout session assignments. These roles are an evolution of the alternate host role.

They can be assigned to any meeting to help the host conduct a meeting. However, they do not have the authority to start the meeting.

You can share your app with your co-hosts, or they can be different organisations. If you share an app, co-hosts can access all admin features.

You can also turn off the shared Pigeonhole Live app with co-hosts. The Stop session button will automatically close the session for all attendees. Co-hosts who use Webex desktop applications can use this app as well.

If you have multiple co-hosts, you can split a large meeting into several smaller breakout sessions. Breakout sessions are useful for small meetings, and you can create them ahead of time or randomly assign them to your attendees.

Breakout sessions are governed by an Admin, who determines the length of each session.

Admins can broadcast messages to all sessions, rename, and delete individual sessions. Alternatively, hosts can switch out and move the participants, and co-hosts can move them.

Webex supports recording of meetings. While free users can only record from the desktop app, they cannot save the recordings to the cloud. Paid users can record meetings on their desktops, mobiles, and other devices.

Archived meetings can serve as useful reference, training, or educational materials.

Recordings of Webex meetings can be shared with participants via a third-party program. But be sure to check out the terms and conditions and restrictions before deciding to share your webex meeting with others.

Passing the Presenter Role to an attendee

If the webex meeting is scheduled by the host, he or she has the option to change the presenter by clicking the Change Role to Presenter menu. The current presenter will be displayed, along with a ball next to his or her name. If the presenter does not wish to be the current one, he or she can reassign the Presenter role to another attendee.

When you set up a meeting, you are the host, so you can control all aspects of the meeting, including the role of each person. Passing the Presenter role to another attendee allows you to delegate the host’s privileges to panelists and attendees, and you can even assign the cohost role to one of them. Passing the Presenter Role to an attendee is easy and flexible.

Passing the Presenter Role to an Attendee in Webex host privileges should be done on desktop computers. The participant joining from a mobile device is not able to take the Presenter Role. Mobile device participants appear in the Participants panel with a mobile device icon to the left of their name. To change the presenter role, a participant must join the Webex meeting on a desktop computer or select their name from the Participants panel. Next, they must click on the Make Presenter button or right-click their name and change it to Presenter.

If you want to pass the Presenter Role to an attendese in Webex host privileges, you can assign a cohost to participate in the meeting. This option is available only to Webex Meetings and Personal Room Meetings. The Webex Help Center provides more information about these roles and how to assign them. It’s important to know the roles of other attendees before transferring the host role to them.

Disabling sharing for all attendees

During a Webex meeting, you have the ability to control what can be shared by participants. By disabling sharing for all attendees, you can protect sensitive information from being shared by participants. You can enable or disable sharing for all participants depending on the type of content you’re sharing. If you’re not sure whether to enable sharing, you can check out the information in the Cisco video. This video explains how to share your screen and other content during the meeting.

In Webex Meetings, you have the option of enabling or disabling video for all attendees. As the host, you can control whether or not to turn on video and audio. To do this, navigate to the top menu bar and click on Settings. Uncheck the “Allow all participants to turn on video” box. Once you have turned off sharing for all participants, you can start sharing again.

By default, WebEx meetings are enabled for all attendees. However, you can change this to allow a few users to view the meeting. If you are hosting a meeting for more than one person, you should disable sharing for all attendees. Disabling sharing for all attendees helps you prevent people from sharing your screen with others. It also enables you to remove attendees from the meeting if you need to.

Before hosting a Webex meeting, you should make sure that you enable privacy and security. By disabling sharing for all attendees, you can prevent any unexpected guests from joining the meeting. In addition, you can prevent any accidental attendees from joining your meeting by selecting an alternate host. If you choose to enable this setting, make sure that the alternate host is an UMD student or employee. You can also enable a password for an alternate host, which will give you the same privileges as you do.

Another useful feature in Webex is mirror view. By disabling sharing for all attendees, you’ll prevent people from sharing videos of themselves and other attendees. You can also make sure that all attendees can only view your screen if they are logged into the Webex meeting. However, this feature can be disabled once per meeting, so be sure to disable it before the meeting begins. When you do this, you’ll be able to prevent your attendees from capturing the entire meeting and sharing it online.

Locking a meeting to prevent uninvited attendees from joining

Authentication is an important security feature that allows hosts to restrict who can join a meeting. Authentication prevents participants from joining your meeting if they are not signed in or if their email addresses are different from the one of the host. It also prevents people from joining who are disruptive, allowing you to kick out these participants. This article covers some of the important features of authentication and the reasons why you should use it.

To prevent uninvited attendees from joining a Webex meeting, click on the ellipsis icon in the Participants pane. Select the lock option to prevent uninvited attendees from joining your meeting. Unlocking a meeting allows only invited participants to see it. Unlocking a meeting also keeps attendees from joining it, but only if they are signed into Teams. Make sure to sign in with your Microsoft account.

When setting up security, you should take a look at recommended settings for your Webex meeting. Since you are the final decision maker and control virtually every aspect of the meeting, it’s important to follow best practices.

You should avoid posting meeting details anywhere on the Internet, or giving out your Personal Room host key or audio PIN to everyone.

Rather, only give out meeting passwords to those who are specifically authorized to attend.

Another method to prevent uninvited attendees from joining a Webex meeting is by expulsion.

Expulsion of uninvited attendees from a Webex meeting is an easy way to avoid unwanted distractions.

Using the “Mute on Entry” setting in the Settings panel will reduce the amount of clamor, and you can even pause the meeting to remove disruptive participants.

How to Change and Select Call Hosts in Cisco Webex Meetings

Cisco Webex Meetings allows meeting hosts to designate other participants as co-hosts who can help manage meetings. Hosts can also transfer the host role entirely to another participant.

Co-hosts can start meetings, add and remove participants, mute participants, lock meetings, record meetings, and more.

To assign co-hosts:

  • Before the meeting , when scheduling from Outlook using Webex Productivity Tools, specify co-hosts in the Webex Settings dialog box under the Co-host section.
  • During the meeting :
  • Hover over a participant’s name, click the More Options menu, and select Make This Attendee a Co-host .
  • Or right-click on their name in the participant list and select Change Role > Make Co-host .

Note: Co-hosts must have Webex host accounts in your organization. Guests cannot be made co-hosts.

As the meeting host, you can transfer your host privileges entirely to another participant:

  • Hover over their name, click the More Options menu, and select Make This Attendee the Host .
  • Or right-click their name in the participant list and select Change Role > Make Host .

Once you transfer the host role, you give the new host full privileges to manage the meeting. Meanwhile, you become an attendee without host privileges.

Transferring host privileges allows you to leave an ongoing meeting while allowing it to continue for the other participants.

Cisco Webex Meetings provides flexible audio options:

  • Computer Audio : Use your computer’s microphone and speakers.
  • Call Me : Enter a phone number for Webex to call you.
  • Call In : Dial into the meeting using provided dial-in numbers.
  • Don’t Connect To Audio : Join without audio.

Hosts can select call-in settings when scheduling or starting meetings. Participants can also choose their audio option when joining.

Site administrators can configure global call-in numbers to display automatically for meetings instead of hosts specifying them. This provides a consistent experience.

To check if global call-in is enabled:

  • Sign in to Webex Site Administration
  • Go to Configuration > Webex Settings > Global Call-In Settings

If disabled, site admins can enable it and configure call-in numbers.

Follow these best practices when changing or selecting call hosts:

  • Designate co-hosts in advance when scheduling meetings
  • Lock meetings once all invited participants have joined
  • Mute participants by default to avoid background noise
  • Encourage participants to connect audio using computer or call-in to reduce bandwidth usage

Cisco Webex Meetings provides hosts flexibility in managing meetings audio and assigning roles like co-host. Take advantage of these features to improve meeting productivity and security.

You can use Webex on most devices, whether a low budget Chromebook , a Windows PC, or an Android phone, thanks to its multi-platform support. While some features are absent on specific platforms, adding cohosts to meetings is not one of them.

Whether you're running late or can't attend an event, assign cohosts to start and manage meetings or webinars in your place. We show you how to make team members and guest attendees cohosts on Webex.

How to make someone a cohost during your meeting or webinar

You can make attendees (including guests) cohosts in a meeting that has started. However, the option is unavailable for attendees joining the meeting from unsupported applications.

Add a cohost on the Webex mobile app

While the meeting is ongoing:

  • Tap the Participants icon. This shows the list of meeting attendees.
  • Tap the name of the person you want to make a cohost. A box with several options appears.
  • Select Make Cohost .
  • Tap OK to confirm.

Add a cohost on the Webex desktop or web app

On your computer:

  • Click the Participants icon during the meeting to display the participants list.
  • Right click the name of the person to be made a cohost. A pop-up box appears.
  • Click Make Cohost .

Whether it's from a phone or PC, the person is notified that they're a meeting cohost. To unassign someone from the role, choose their name from the Participants list and select Remove Cohost .

How to make someone a cohost while scheduling a meeting

You can choose cohosts while scheduling your meeting, provided the attendees to be selected are licensed to host meetings on your Webex site. Here's how it works.

To choose someone without a license, wait until the meeting starts before making them cohosts by following the steps in the previous section.

  • Launch the Webex desktop or web app and sign in to your account.
  • Go to the Meetings tab from the left sidebar.

  • Enter the relevant meeting information, like the topic and start date.
  • Add people to the Invitees field in the upper-right corner using their names or emails. Separate each name with a comma or semicolon.
  • Click the Enter button to add the attendees.
  • Right click a newly added attendee and click Make this attendee a cohost . This option may be unavailable.
  • Let me choose cohosts for this meeting.
  • The first person to join the meeting who has a host account on this site or the first authenticated Cisco video device in this organization to join becomes a cohost.

A webinar plan allows you to select cohosts while scheduling a webinar. Like meetings, you can only choose attendees with webinar host licenses. Follow these steps:

  • Sign in to your Webex account.
  • Navigate to the Webinar tab and click the Schedule a webinar button.
  • Enter the relevant webinar information, like the topic, webinar password, and date.
  • Add panelists in the appropriate field, separated by commas or semicolons, and press Enter .
  • Hover over an attendee's name and click Make this panelist a cohost to assign cohosts. Alternatively, wait until the webinar starts, right click an attendee's name, and navigate to Change Role > Make Cohost .

How to make someone a cohost in your Personal Room meetings

You can assign cohosts for your Personal Room meetings from the settings page. Here's how:

  • Sign in to your account and go to Settings from the right sidebar.

  • The first person to join the meeting who has a host account on this site or the first authenticated Cisco video device in this organization to join my Personal Room becomes a cohost.
  • All attendees who have host accounts on this site and all authenticated Cisco video devices in this organization become cohosts when they join my Personal Room meetings.
  • Click Save .

How to add a cohost to an existing meeting or webinar

When you schedule a meeting or webinar, you can add cohosts before the event starts. Follow these steps:

  • Go to the Meetings or Webinars tab to see your scheduled meetings or webinars, respectively.
  • Select the meeting or webinar to which you want to add cohosts.
  • Find the name you want to assign under Who is Invited for meetings or Panelists for webinars.
  • Click the ellipses ( ... ) next to their name.
  • Click Assign cohost .

The 2024 Alaska Fisheries Science Center Seminar Series provides a venue for researchers to present new research on fish, fisheries management, marine mammal ecology, and habitats across Alaska’s marine ecosystems. We encourage speakers to present work that is of broad interest to the Alaska marine science community, and welcome speakers and attendees from both inside and outside the AFSC. The seminar series starts in late February and ends in early May. We host around 10 weekly talks on Tuesdays at 10 am Pacific Time, with speakers from both inside and outside of the Alaska Fisheries Science Center.

Eyes on the water: fishery observers and their role as enforcement assets.

Intensively managed, well-regulated, and well-enforced fisheries are typified by low incidences of illegal, unregulated, and unreported (IUU) fishing and also possess stock levels that are above target levels of exploitation or are rebuilding. Fisheries operating in the Federal waters off Alaska are managed with near real-time quota management and have been monitored with observers for over 50 years. Observers in our region are deployed into fisheries year-round and typically operate independently for up to several months at-sea and in remote ports. Observers in the North Pacific are required to collect unbiased information on the extraction of marine resources while also reporting potential violations of maritime law. They must therefore act as scientists and enforcement assets. The scientific value of observer data to support quota management and stock assessments is relatively well understood compared to the value of observer data to combat IUU. This year marks the 25th anniversary of the start of digital observer statements, i.e., reports of potential law violations in the North Pacific. The Fisheries Monitoring and Analysis (FMA) Division of the AFSC has been collaborating with the Office of Law Enforcement Alaska Division (AKD) for the past eight years to summarize, analyze and publicly report potential IUU in Federal waters. This presentation highlights the results of three teams that have iteratively improved the way observer statements are recorded, analyzed, and presented. The utility of these statements in documenting unlawful behavior over time, the challenge of increasing regulation, how reporting accuracy is being improved, and newly quantified risks of sexual assault and harassment (SASH) faced by observers will be presented. These efforts are only examples of a continuous effort to better inform policy makers of potential issues and to improve the efficiency and effectiveness of maritime law enforcement.
