Usually, the project manager defines the goals, action steps, tasks, due dates and priority levels of the action plan. But larger projects have bigger staffs and there a project coordinator or other personnel might be responsible for the action plan. Whoever completes the action plan template, the project manager is going to have the final say and will have the authority to update it as plans change.

When Should You Use an Action Plan Template?

You should use an action plan format whenever you need to plan simple projects, manage your personal or team’s work, implement initiatives in your organization and other similar purposes. Action plan templates are meant to facilitate the execution of work by helping leaders and team members better understand the different tasks to be completed.

For larger projects, it’s advised to use project management software like ProjectManager , so you can plan with Gantt charts, kanban boards, task lists, project calendars and more.

How to Use This Free Action Plan Template for Excel

Our action plan template for Excel is broken down into three sections. One for listing action steps, one for building a timeline , and one to identify resource requirements.

1. List Your Action Steps and Action Items

As mentioned above, action steps are made up of tasks, or action items. The first part of this action plan template lets you list the action items for each action step, as well as task status, assignee and the phase it which it belongs.

  • Priority: Each task will have a priority attached to it. That is, it’ll be determined if the task is a high, medium or low priority, which helps you make a more realistic plan.
  • Tasks: This is where you list every task that must be taken to complete the action steps and achieve the project’s goal. Be thorough and brainstorm with the team. The more detailed, the better.
  • Phase: Here, you’ll note where the action step takes place over the course of the project life cycle, such as in the planning stage, execution, closing, etc.
  • Assigned: Determine ownership of each individual task by assigning it to a specific team member. They’ll then be responsible for seeing the task through to completion.
  • Status: Here’s where you chart the progress of the work done on each task. Enter a completion percentage or any status that you wish to assign to track progress.

2. Estimate Time for Each Task

Once you’ve mapped out your action steps and action items, you can start assigning a start date and end date to each task and estimate their durations. This information will be needed to create a timeline.

  • Start date: This section is your schedule. Each task is tagged with a time in which it must begin to keep the project on track.
  • Due date: It is here that the due date is determined, so everyone working on that task is clear about when they must have it completed.
  • Planned hours: When planning, you have figured out how much time can be allotted to each task. Here is where you put that information.

3. Identify Resource Requirements

Here you can list the resource requirements for each task. Simply estimate what resources will be needed and estimate a cost for them. There’s also a field to indicate which department is in charge of each action item.

  • Department: Which department is responsible for the task, marketing, dev team, etc.?
  • Materials required: What materials are needed for completion of that task, software, equipment, materials, site, etc.
  • Cost: What amount of funding has the budget allotted to this task?
  • Notes: Finally, this is a catchall for any information needed to capture which doesn’t fit in any of the other categories.

How to Create an Action Plan with ProjectManager

How to write an action plan step-by-step

1. Determine your goals

First, you need to understand what you’re trying to achieve. Then, make this goal as specific as possible.

For example, “increase sales” is not a clear enough goal. “Increase sales by 20% in quarter three” is more specific and allows you to set a metric for achieving it.

2. Break down the steps required to achieve each goal

What actions are necessary to get there?

In this example, that might include:

  • Hire three new sales development representatives
  • Increase content marketing budget by $20,000
  • Implement a new sales training program for new hires

3. Determine task dependencies and priorities

Remember: you can’t do everything at once! So now that you’ve broken down that big goal into bite-sized chunks, you need to figure out the perfect order for completing the tasks. In the above instance, you need to hire new sales representatives before starting a sales training program.

4. Set milestones

Now, set some milestones for significant events or checkpoints along the project. Some typical milestones are:

  • Completion of a substantial task or phase of the project
  • A significant event, such as a product launch
  • Important meetings, like customer review meetings

5. Add deadlines

When do you need to complete each task? Setting deadlines for each task helps your team stay on track and allows you to identify if your timeline for the larger goal is realistic.

6. Identify the resources you need

What’s getting in the way of completing these tasks? What do you require — perhaps from leadership or another team — to meet or exceed your goals? In our sales team example, we might need some assistance from the HR department to advertise an open role and attract new applicants.

7. Assign tasks to individuals

Who is responsible for each action? Assign a clear task owner to each task. Ownership doesn’t just make someone feel accountable; it empowers them to take the initiative and solve problems without dragging in management at every twist and turn.

8. Agree on a plan to review progress

Before you jump in and start your project, determine how you will measure progress toward your goals. For example:

  • Will you review your action plan every day or every week?
  • Will the task assignees or the project leader be responsible for updating the plan to reflect progress?

Let's start with the details section.

The Details section is the backbone of the MAP and shouldn't be underestimated or overlooked. It includes the core information about the deal, including who the customer is, a key contact or champion at your customer's organization, and who is handling the sale on your side. 

As well as this, it's a great place to include a desired 'go live' date for the customer.

Why is it important? The Details section may seem straightforward, but it sets the context for the rest of the mutual action plan – not least by time-boxing the deal against the 'go live' date to prevent it from dragging on for months more than needed.

How to use it? You should always strive for clarity and precision when filling out the Details section. A good rule of thumb is to be concise but thorough – be sure to complete each field accurately.

Misunderstandings or omissions in your MAP can potentially lead to confusion, misalignment, and even conflicts between you and the customer – so make sure you validate all the information with the customer at the earliest opportunity.

2. Objectives

The Objectives section outlines why the customer is entering into this deal and what they are looking to achieve as a result.

Depending on what your product does and what the customer wants to achieve, these outcomes typically range from financial targets and customer satisfaction scores to product development milestones, operational objectives, or market share growth.

Why is it important? The Objectives section acts as the 'north star' of the MAP. Listing the challenges, desired outcomes, and requirements provides a clear direction of travel that all actions and decisions within the MAP should be working toward.

Not only does the Objectives section allow you to easily align everyone on the same goals, but it also helps to promote further a sense of partnership between you and the customer – something that you may not experience in a more transactional relationship.

How to use it? To use the Objectives section effectively, you must clearly state your customer's goals. 

When doing so, make sure they are SMART – Specific, Measurable, Achievable, Relevant, and Time-bound. Using the SMART framework means the goals you've included in the MAP are clear, realistic, and measurable. This clarity then gives you the chance to monitor progress effectively.

When setting objectives, it's good to be concise with your statements. If you don't set your objectives properly and include vague or unrealistic goals, it can lead to confusion, frustration, and lack of motivation from the Customer. This could potentially jeopardize the deal. 

3. Stakeholders

The Stakeholders section with the MAP template helps you to identify everyone involved in the sale – both from your organization and the customer's company.

The stakeholders section allows you to outline each contributor's roles, responsibilities, and expectations of each contributor, providing everyone with a clear view of who does what.

Why is it important? Listing all the stakeholders involved in the deal and the roles they will play helps ensure easy coordination between you and the customer – providing accountability baked-in as standard. 

Collecting all this information gives everyone an instant insight into what they will be doing and who to turn to for specific issues.

How to use it? To use the Stakeholders section effectively, you must identify every individual or team involved (in your organization and theirs) and clearly define their roles and responsibilities. 

To avoid any potential confusion, you will also need to ensure that everyone understands and agrees with their role in the deal.

When you're in the process of identifying all the stakeholders involved in the deal, make sure you include everyone – even those with a minor role to play. 

To avoid any potential deal-breaker situations later down the line, make sure everyone is aware of their position, what you expect them to do, and any associated deadlines they need to meet.

4. Milestones

The Milestones section of the mutual action plan template is where you should outline significant points (milestones) along the deal timeline.

Each milestone is a task or action added by you, and once they're complete, you'll need to mark them as 'done' so all your stakeholders can see the latest progress.

5. Resources

Last but not least is the Resources section of the mutual action plan template.

In this section of the MAP template, you will need to outline all the resources required to close the deal. 

These resources could include manpower, financial resources, technology, equipment, facilities, or anything else needed to complete the deal.

Why is it important? Put simply, you will need to know in advance what resources you need to get the deal over the line. 

Using the resources section of the MAP template will help you produce a realistic action plan without over-committing, under-utilizing, or misallocating resources.

How to use it? To get the most out of the Resources section in the MAP template, you will need to think carefully about the resources you will need, who is responsible for them, and their availability.
